Administrative and Social Media Assistant

Location: Oxford, Office based

Hours: 80-100% flexible

As our team expands, we are looking for someone to join us in our Oxford office to look after the every day tasks of running the office, helping us with logistics for our meetings in the UK and abroad and support us in writing content for social media and newsletters.

Who you are:

As part of a small enthusiastic team, you are prepared to turn your hand to anything and are able to manage multiple projects at a time. You have a keen eye for detail and the ability to juggle many moving pieces.  You will work with autonomy and proactivity, supporting the team on various tasks, from administrative and logistics support to writing and creating content for social media and newsletters for B2C and B2B. 

What you'll do:

Initially, while you get up-to-speed with what we do and how we operate, you’ll be helping with finalizing our installation in our new office and organising our meeting room. You’ll then move onto:

  • Acting as day-to-day contact for Vitaccess at the Oxford Centre for Innovation for all office administrative and logistics needs, including checking post daily, filing and distributing as appropriate.

  • Writing content for patients’ apps newsletters

  • Writing and scheduling content for social media platforms including Twitter, LinkedIn and Facebook

  • Supporting preparation for client meetings in the UK or abroad: name badges, document collating and printing, electric adaptors, etc…

  • Supporting preparation for international conferences and events the directors team attend

  • Creating visual social media content such as videos and images

  • Helping with website updates

  • Supporting with suppliers’ liaison for communications materials

You already have:

  • 3 years’ experience in a similar role

  • Social and digital media experience

  • Fluency in English (spoken and written); strong business/scientific written English.

  • Eligibility to work in the EU.

  • Fantastic time management and personal organisational skills.

  • Strong attention to detail and demonstrable ability to multi-task

  • Great problem solving skills

Bonus points for:

  • Client and customer service experience

  • Being bilingual in other languages, and double bonus if that language is Spanish

  • Understanding of translations industry, Life Sciences industry or in smartphone/cloud-based technology
